The Bilingual Japanese Administrative Assistant position encompasses a wide range of activities and responsibilities from client communication to administrative tasks. The person is responsible for planning, organizing and delivering a five-star experience for internal and external customers.
This position requires Native level Japanese bilingual skills (oral/written) and computer skills with knowledge of Microsoft Office (Word, Excel & PowerPoint).
Essential Functions
- Communicates directly with clients as necessary to ensure completeness of source document submission allowing more efficient tax preparation
- Liaison between taxpayers and employees
- Scans workpapers, assists with assembly and prepares for shipping for Tax Returns
- Creates Tax workpapers and templates with Japanese translation if necessary
- Arranges ITIN meetings and interviews
- Provides billing details to clients, requests monthly expat billing to internal
- Maintains files and other records
- Supports other departments administratively per request
- Performs such other duties as may be assigned
Knowledge, Skills and Abilities
- Knowledge of modern office methods and procedures, filing, telephone techniques and office equipment, as well as business English usage, spelling, grammar, and punctuation
- Ability to type 50 words per minute accurately
- Ability to perform administrative and clerical duties with speed and accuracy without immediate and constant supervision
- Executes assignments of a confidential nature; requires ability to keep matters confidential
- Ability to perform several tasks concurrently with ease and professionalism
- Strong bilingual verbal, organizational and interpersonal skills
Required Education and Experience
- Proficient with computers, including Microsoft Outlook, Microsoft Office and experience with other PDF software
